Information we collect
When you start a request, we may collect your name, phone number, email address, service address, city, postal code, property type, number of bathrooms or fans, preferred appointment details, the concern you describe, and optional photos you choose to upload.
We also collect limited technical information needed to operate and protect the website, such as form-security data, page and referral information, campaign tags, browser or device information, and basic website-usage measurements.
How we use the information
We use it to review your bathroom ventilation request, contact you, prepare or confirm scope and pricing, schedule work, create service records, provide customer support, prevent abuse, maintain business records, and understand which pages or campaigns produce useful requests.
Submitting a request does not create a confirmed appointment. Service details and availability still need to be reviewed.
Photos and job stories
Photos uploaded with a request are stored privately for service review. We do not publish customer names, exact addresses, contact details, or private request photos as marketing content without an appropriate permission and privacy review.
When a real project is approved for a public Job Story, we limit it to useful project facts, a general location such as a city or neighbourhood, and permission-safe images.
Service providers and sharing
We share information only as reasonably needed to operate the service. This can include our hosting and security providers, Google Workspace and Calendar, Housecall Pro for customer and lead records, analytics providers, and contractors or team members working on the request.
Some providers may process information outside your province or outside Canada, where it may be subject to the laws of that location. We do not sell personal information.
Analytics and cookies
We use limited analytics to measure page visits and completed request journeys. Our current analytics configuration disables Google signals and advertising-personalization signals. Browser storage or cookies may still be used for analytics, security, session, and operational functions.
You can limit cookies through your browser settings. Blocking essential storage may affect sign-in or form operation.
Messages and marketing
We may send service-related messages about your request, quote, appointment, or completed work. We do not treat a service request as permission for unrelated promotional email. Where marketing consent is requested, it will be presented separately and can be withdrawn.
Retention and security
We keep information only as long as reasonably necessary for service delivery, follow-up, warranty and business records, security, dispute handling, and legal or tax obligations. Retention can therefore differ by record type.
We use access controls, protected credentials, private storage, encrypted transport, backups, and restricted staff tools intended to protect the information we hold. No internet or storage system can be guaranteed completely secure.
Your choices
You may ask to access or correct your personal information, withdraw consent where applicable, or request deletion of information we are not required to retain. We may need to verify your identity before completing a request.
To make a privacy request, email dispatch@bathroomfanpros.com. We will explain if a legal, safety, warranty, accounting, or fraud-prevention obligation limits what can be deleted.
Updates and questions
We may update this policy as the service, providers, or legal requirements change. The effective date above identifies the current version.
Questions about this policy can be sent to dispatch@bathroomfanpros.com, or you can contact Bathroom Fan Pros.
